Entering Year-to-Date Payroll Information

Situation

An accountant who helps her clients set up QuickBooks payroll wrote with a long litany of complaints about the payroll setup process. She wanted to know whether there's a way to enter the year to date payroll information she has, without using the payroll setup feature, and without entering each paycheck for each employee.

Response

Here's an undocumented shortcut for entering year to date payroll information:

  1. Create the employees (which you can do without running Payroll Setup).
  2. From the menu bar, choose Help - About QuickBooks to display the Product Information window.
  3. Press the keyboard combination Ctrl+Shift+Y.

A wizard opens to walk you through the steps of entering year to date summary information for each employee. We've tested this in QuickBooks 2006 and 2007. It does not work in earlier versions of QuickBooks.

Remember that you can set up your payroll items, and everything else involved with configuring payroll, without using the Payroll Setup feature.
