Figuring Out Overtime Using QuickBooks Point of Sale Time Clock

Situation

Your client is using QuickBooks Point of Sale and has been using the time clock feature to track payroll, which is paid twice a month. However, they have employees who earn overtime.

Response

Here is one workaround that I use and am happy to share with others, if it will help. It requires extra work with an Excel worksheet.

  1. Print out the Time Clock Summary that has been modified for the exact dates of the pay period. Print out the three Weekly Reports that cover the entire pay period (e.g.: January 1 to January 15 straddles three weeks).

  2. Export the Time Clock Summary to an Excel spreadsheet.

  3. Manually fill in the overtime amounts for each employee as pulled from the Weekly Reports. Make sure that these columns are formatted to the custom format: [h]:mm:ss: Also, when entering minutes of overtime, type 0: and then the minutes (e.g.: 0:12, not :12). This is very important because otherwise the hours and minutes will not add up correctly.

  4. Create formulas on the worksheet to subtract the overtime from the total from the summary to get the straight time. Again, these columns must be formatted to the custom format: [h]:mm:ss:

Note: you can avoid these Excel formatting issues by using my worksheet as a template. If you decide to go this route, just manually enter the Employee's Login Name, the Elapsed hours, and the overtime, into the appropriate columns and you're ready to roll.
